Mandatory site visit wording on tender notices — reading the gate

A mandatory site visit on a published notice is a hard gate — miss the briefing and you may be excluded before you price the job. This guide teaches reading literacy for site visit, site briefing and premises inspection wording on Contracts Finder and Find a Tender. Not bid writing.

Not bid writing. Not a search engine. BidFit emails tender matches and writes sourced Go / No-go memos when you ask. We do not draft responses or attend site visits on your behalf.

Why site visit wording is a bid/no-bid gate

Facilities, cleaning and trades tenders often require attendance at a site visit, site briefing, mandatory premises inspection or contract briefing session. On the published notice, this wording is a logistics gate: if your firm cannot attend on the stated date, or register in time on the buyer portal, you may be excluded regardless of price or quality.

Site visit requirements appear on the notice page itself — they are notice-visible gates, not pack-only unknowns. See how to read a tender notice in ten minutes for triage order.

Common phrasing on Contracts Finder notices

Scan the description and "additional information" blocks for:

Optional site visits ("suppliers are invited to attend") are softer — mandatory language is the hard gate.

What to extract from the notice in five minutes

  1. Mandatory or optional? Highlight "mandatory", "compulsory", "must attend", "will not be considered".
  2. Date, time and timezone. Notices use GMT/BST — confirm which applies. All-day windows still need a person on site.
  3. Address or site list. Can you reach every site in the contract geography? Multi-academy or NHS estate lists can kill a bid on travel alone.
  4. Registration deadline. Portal registration may close days before the visit. Missing registration is as fatal as missing the visit.
  5. Who must attend. Some notices require "contract manager" or "person who will supervise the contract". If your director cannot attend and no substitute is allowed, that is a triage stop.

Site visit vs virtual briefing

Post-2020, some buyers offer Teams or webinar briefings. Read whether the notice says:

Do not assume virtual counts unless the notice says so explicitly.

When a memo helps

If the notice survived your triage but site visit wording is buried in an attachment summary, a £9.99 memo extracts gates with sources. If visit rules live only in the ITT pack, £29.99 applies when you forward the pack. Neither product attends the visit or writes the bid.

Questions

What happens if I miss a mandatory site visit on a UK tender?

If the notice states attendance is mandatory and tenders from non-attendees will not be considered, you may be excluded from the competition. The published notice is the source — read the exact wording.

Where is site visit information on Find a Tender?

Check the notice description, additional information, and any attached summary documents linked on the notice page. Registration instructions often sit in the buyer portal link.

Does BidFit attend site visits for me?

No. BidFit provides notice matches and sourced Go / No-go memos. We do not attend site visits, register on portals, or write tender responses.
