Contract duration and extension options on tender notices — reading for UK SMEs
“Initial term 3 years + 2 × 12-month extensions” sounds straightforward until you need to know whether turnover gates use the initial value or the five-year ceiling, or whether mobilisation staff must stay for the full optional period. For facilities, cleaning and trades SMEs, reading duration and extension wording on the notice is an early commercial and capacity signal — not a substitute for the contract draft.

Three duration lines to separate
Notices often print several related fields. Read them as distinct lines:
- Initial contract period — the committed term if you win (e.g. 36 months from service commencement).
- Extension options — optional periods the buyer may take (e.g. 2 × 12 months at buyer discretion).
- Maximum contract length — initial plus all extensions (e.g. 60 months total).
Extension options are not guaranteed work — but they affect how buyers describe total value, TUPE exposure, and sometimes financial-standing tests. Quote what the notice prints; do not treat “up to five years” as five firm years unless the wording says so.
Where duration wording appears
On Contracts Finder and Find a Tender, check:
- Contract duration / period of contract structured field.
- Estimated total value — may reference initial term or maximum length; read the footnote.
- Description narrative — mobilisation date, contract start, and “extensions subject to satisfactory performance”.
- Lot-specific tables on multi-lot notices — each lot may carry different terms; see multi-lot triage.
Why SMEs read duration at notice stage
| Question the notice may answer | Why it matters for bid/no-bid |
|---|---|
| Is the initial term long enough to recover mobilisation? | Short 12-month cleaning lots with heavy TUPE may need sharp pricing or a no-bid. |
| Does estimated value include extensions? | Turnover gates in turnover requirements may use total estimated value. |
| Are extensions priced in the bid? | Some ITTs require extension year rates upfront — notice may flag this in the description. |
| Framework call-off length | Mini-competitions on DPS may print shorter call-off terms; see framework call-offs. |
Common wording patterns
- “Initial period of 24 months with option to extend for a further 24 months” — one extension block; max 48 months.
- “3 + 1 + 1 years” — initial three years, two one-year options.
- “Extensions at the discretion of the Authority” — options exist; no automatic renewal.
- “Contract may be terminated for convenience with 90 days’ notice” — read alongside duration; effective term may be shorter than printed maximum.
- “Contract start date: 1 April 2027” — mobilisation planning; pair with minimum staffing levels on the same notice.
Duration vs award notices
Live tender notices describe the opportunity you may bid on. Contract award notices describe what was signed — useful for incumbent intelligence and actual term; see find incumbent / last award and standstill period wording. Do not mix the two document types when building a pipeline forecast.
Quick reading checklist
- Record initial term as printed (months or years).
- List each extension option — count and length.
- Note maximum length if stated separately.
- Check estimated value footnote — initial vs maximum.
- Combine with gates — ten-minute notice read.
Questions
What is the difference between initial term and maximum contract length on a notice?
The initial term is the committed period if awarded (e.g. three years from start). Extension options are additional periods the buyer may take (e.g. two one-year extensions). Maximum length is initial term plus all optional extensions (e.g. five years total). Read each line as printed.
Do extension options change turnover gate maths?
Turnover gates usually reference estimated contract value over the period the buyer states — sometimes initial term only, sometimes maximum length including extensions. Cite the notice wording; do not assume one rule.
Does BidFit advise on contract length or pricing extensions?
No. BidFit matches notices and writes sourced Go / No-go memos on visible gates. We do not draft bids, price extensions, or advise on commercial terms.
