Submission deadline clock on UK tender notices — reading for SMEs
For facilities, cleaning and trades SMEs, the submission deadline is often the first hard gate on a live notice — before turnover, insurance, or TUPE wording gets a proper read. Contracts Finder and Find a Tender print closing dates in slightly different field layouts. This guide is notice literacy: how to find the clock, what common phrases mean on the published page, and when a modification notice may have moved it. Not portal training and not bid writing.

Why the deadline field matters before bid/no-bid
A digest match or alert email may land three days before close — or three weeks. Reading the deadline block first saves wasted pack downloads on lots you cannot mobilise in time. Pair deadline reading with how to read a tender notice in ten minutes and bid/no-bid decision for UK SMEs.
The notice tells you what the buyer published. It does not guarantee portal behaviour, file-size limits, or mandatory site-visit dates that eat into your preparation window — see mandatory site visit wording.
Where the clock appears on Contracts Finder
On a live contract notice, scan these blocks in order:
- Closing date / time — often a paired date and time in the notice summary.
- Time for receipt of tenders — narrative equivalent in the description.
- Submission method — portal name, email, or post; the method line may repeat the cut-off.
- Lots — multi-lot notices may show one deadline for all lots or lot-specific lines — see multi-lot notice triage if your profile matched a parent notice.
Copy the exact date and time into your tracker. “Midnight” without a timezone is ambiguous on some templates — note what the notice prints, not what you assume.
Find a Tender and higher-threshold notices
Find a Tender contract notices above relevant thresholds use similar deadline fields with Procurement Act 2023 labelling on newer publications. Field names may read “Tender submission deadline” or “Deadline for receipt of tenders”. For SME bidders comparing old and new templates, see Procurement Act 2023 notice fields when that guide is on your desk — the deadline block still sits near procedure type and contract value.
Common wording patterns
| Printed phrase | Plain-English reading | Triage note |
|---|---|---|
| “12:00 noon on [date]” | Hard cut-off at midday on that calendar date | Confirm whether noon is local UK time as printed |
| “Noon GMT / BST” | Explicit timezone — cite as shown | Watch BST vs GMT around clock changes |
| “Deadline extended to …” | Modification notice may supersede original | Read the corrigendum — see corrigendum notice reading |
| “Two-stage / SQ deadline” | Restricted procedure — first gate may differ from ITT | See restricted vs open procedure |
| “Mini-competition closes …” | Framework call-off window | Panel membership gate — see framework call-offs vs open tenders |
Deadline vs other dates on the same notice
Do not merge these into one “important date”:
- Clarification question deadline — often earlier than submission; missing it may not stop submission but weakens your bid.
- Mandatory site visit / briefing date — attendance gate; may be before submission close.
- Contract start / mobilisation date — commercial planning, not the submission clock.
- Standstill on award notices — different document type entirely — see standstill period wording.
Desk habit for SME cleaning and soft FM teams
When a notice matches your trade profile:
- Log deadline, portal link, and notice ID in one row before downloading the ITT pack.
- If the digest surfaced the notice late, treat deadline as Fail unless you can genuinely mobilise — order a £9.99 memo when gates are unclear: when a notice match needs a memo.
- Re-check the notice page on the morning of submission — corrigenda do publish.
Questions
Where is the submission deadline on a Contracts Finder notice?
Look for closing date, time for receipt of tenders, or submission deadline fields in the notice header and description. Find a Tender uses similar deadline blocks on contract notices. Always cite the date and time exactly as printed on the notice you are reading.
Does a corrigendum reset the deadline?
Sometimes. A modification notice may extend the closing date or clarify portal cut-off time. Read the corrigendum as a separate publication — do not assume the original deadline still applies until you have read both.
Does BidFit submit bids before the deadline?
No. BidFit emails tender matches and writes sourced Go / No-go memos. We do not upload tenders, operate buyer portals, or guarantee submission on your behalf.
